The processing of personal data in the context of subscriptions for, and distribution of, the EASO External Newsletter is subject to Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC.
Identity of the Controller: The Head of Unit of EASO’s Communication and Stakeholders Unit (CSU).
Description: The EASO External Newsletter is an electronic newsletter covering the Agency’s events and the Common European Asylum System (CEAS) through articles, interviews, news and visual content. The Newsletter can also be used to inform subscribers of important developments or news relating to EU asylum policy and/or legislation. The EASO External Newsletter is published under the responsibility of the Head of the EASO Communication and Stakeholders Unit (CSU), acting as the data protection controller.
Purpose: In order to receive the EASO External Newsletter, users must proactively subscribe through a dedicated form on the EASO website or by sending an email to firstname.lastname@example.org. All personal data is securely stored with a dedicated service provider with servers located in the European Union.
Personal data collected and processed are:
- Email address of subscriber (mandatory);
- Name (not mandatory).
The mandatory personal data is needed to ensure the delivery of the service to the subscriber, as the EASO External Newsletter is sent by e-mail. The non-mandatory data is only processed when a subscription is made by e-mail and is processed in case there is a need to contact the subscriber, wherein the name is only used to address the subscriber individually.
Recipients and access: The recipient of the personal data is limited to the EASO staff member responsible for distributing the EASO External Newsletter via the contracted service provider using email. The Head of the Press Sector, as the staff member’s Line Manager, or the Head of the Communication and Stakeholder Unit, as the data protection controller, may access the personal data if needed in order to ensure the proper distribution of the EASO External Newsletter.
Data retention: The personal data is retained until the data subject decides to unsubscribe from receiving the EASO External Newsletter. An individual can unsubscribe by either clicking on the unsubscribe link at the bottom of the e-mail containing the EASO External Newsletter or by sending an e-mail to email@example.com. All personal data is erased irreversibly once a data subject has unsubscribed.
Right of Access/Rectification: Should a subscriber to the EASO External Newsletter require further information regarding the processing of his/her personal data, or should s/he wish to exercise his/her rights to access or correct the data, s/he can contact the data protection supervisor by sending an e-mail to firstname.lastname@example.org.
